Questions and answers.
What people ask before they install the team.
Getting started
What is Maxiful?
Maxiful installs a team of AI agents on your own computer: a Chief of Staff and specialists for engineering, finance, marketing, design, and customer care. They sign in to your tools, do the work, and you set what each of them may do on its own. Every plan includes the same team; plans differ in AI allowance and support.
How is it different from a chatbot?
A chatbot answers while you are in front of it. Your Maxiful team keeps working after you close the window: it remembers, it signs in to your tools, and it runs on a schedule. See the comparison.
How long does setup take?
Under an hour. The installer sets up the team; you name your Chief of Staff, describe your business, and connect the tools you use. There are no API keys and nothing to configure by hand.
Do I need to be technical?
No. You talk to the team in the desktop app, on your phone, or in Telegram, in plain language. There are no prompts to engineer and no workflows to build.
Privacy and security
Where does my data go?
Your files, conversations, and the team's memory stay on your computer. The prompt for each AI call travels through the Maxiful model proxy to the model, by default under no-training terms, unless the workspace owner allows providers that may train, which Maxiful holds off once a Google account has been connected. An assistant on one of your own subscriptions (ChatGPT or Codex, Grok, or Claude) sends its prompts to that provider under your own account and its terms instead, and with a model on your computer the prompt stays there. If you connect apps under More work apps, their sign-ins are held for Maxiful by our connections provider in the United States, and what each app action sent and returned is kept there for up to a year. On our servers we hold your account and billing, and for up to 7 days the model name, the serving provider, the token counts, the cost and the time of each call, your plan tier, and technical fingerprints of the call, never the content of your conversations or files. The full account.
What happens if your servers go down?
Your team and your data live on your computer. While our servers are unreachable, account features and cloud AI reasoning pause; your files, memory, and configuration are untouched, and the team resumes when service returns. Outages at the model providers are rare and resolve upstream.
What happens if I cancel?
Your data stays on your computer: conversations, memory, files, and the team's configuration. We delete your account from our systems. The underlying technology is open source, so you can keep running a setup of your own later.
Is my data used to train AI models?
Not by us. Through our model proxy your prompts are processed by default under no-training terms, unless the workspace owner allows providers that may train, which Maxiful holds off once a Google account has been connected. Your team reaches hundreds of models through OpenRouter: frontier models where quality matters, efficient open models for everyday work. An assistant on one of your own subscriptions (ChatGPT or Codex, Grok, or Claude) sends its prompts to that provider under your own account and its terms instead, and with a model on your computer the prompt stays there.
How is the team kept safe?
Each agent works within the folders and services you approve, and you can set any agent to ask you before it runs something new. Marketplace items from third-party publishers pass automated checks but remain the publisher’s responsibility; read a publisher’s listing before installing.
Where are your servers and how is my data secured?
Our cloud runs on Cloudflare's network and is kept deliberately small: it holds your account, billing, and usage metadata, never the content of your conversations or files. Secrets on your machine are written with restricted file permissions, and your Maxiful session sits in your operating system’s credential store. Billing runs through Stripe. Personal data that crosses borders is covered by Standard Contractual Clauses; we operate as Maxiful AB under UK and EU GDPR. What stays local and what we store.
Do you hold certifications such as ISO 27001?
No. We hold no formal certification such as ISO 27001, ISO 9001, or BSI, and would rather say so plainly than imply otherwise. The local-first design is the security story: a breach of our cloud has very little of your data to reach.
Pricing
Why is there no free tier?
A free team would be a degraded one: without persistent memory, background work, and connected tools, it is a chatbot. We would rather have customers who use their team every day. Read why.
What does it cost?
Professional is €99 a month and Business €299, each for your whole workspace: there are no seats, so invite as many colleagues as you like. Enterprise is on request. The AI is included, with no separate subscriptions and no API keys. In Sweden the plans are 1 099 kr and 3 299 kr a month, excluding VAT. To pay by invoice, with 30 days to pay, book 30 minutes and we set it up. See the plans.
What is included in Professional?
The whole team, a Chief of Staff plus specialists, running on your computer, with an AI allowance for about 3 people's daily work, the phone app, Telegram, automatic updates, and priority support. Invite as many colleagues as you like: there are no seats.
What happens if I cancel?
Your subscription ends at the close of the current billing period and the team stops running. Your files, conversations, and the team's memory stay on your computer; we keep no copy of them on our servers.
Can I change plans?
Yes. Change plans at any time from your account, under Manage subscription. The new plan applies immediately, and the difference for the rest of the current billing period is prorated: added to your next invoice when you move up, credited against it when you move down.
Is there a refund policy?
We do not offer refunds. Your service starts the moment you subscribe, and by subscribing you waive your 14-day statutory right of withdrawal. You can cancel at any time and keep access until the end of your billing period.
How do I get support?
Professional customers get priority support, with a reply within four hours on weekdays as the target. Business customers get a dedicated contact. These are targets. Your team can also walk you through common fixes; ask it what is wrong.
Do you charge per seat?
No. Maxiful has no seats. One price covers your whole workspace, and you can invite as many colleagues as you like. The plan's AI allowance is shared by the team: Professional suits about 3 people's daily work and Business up to about 10, though heavier or lighter use moves that number. If your team needs more, move up a plan from your account.
Technical
What do I need to run it?
A Mac or a Windows PC that stays on while the team works. The requirements are on the help page.
What languages does the team speak?
English, Swedish, and German out of the box. It reads documents in most languages.
Can I change what the team does?
Yes. Setup captures your priorities, tone, approval gates, and connected tools, and you can change any of it in conversation: tell the team what to do differently. What happens when an agent makes a mistake.
Which apps does the team connect to?
Google Workspace (Gmail, Calendar, Drive, Docs and Sheets), Microsoft 365 (Outlook mail, calendar and OneDrive), Fortnox and Stripe, where your team reads and prepares on its own and anything that sends, pays, books, refunds or deletes waits for your yes unless you let it do that kind of thing without asking; Spiris (formerly Visma eEkonomi), where your team reads and drafts on its own and books, sends, records payments or voids only after your yes, again unless you let it do that without asking; chat apps such as Slack, Microsoft Teams, Google Chat, Telegram, Discord, Matrix and WhatsApp, where you and the colleagues you invite talk to the team; Notion, Trello, Todoist, Linear, HubSpot and GitHub; 85 more work apps, such as Calendly, Zoom, Asana, Jira and Zendesk, each connected in the app on its own sign-in; other mailboxes over IMAP and calendars over CalDAV; and anything that speaks MCP or OpenAPI. See the integrations page.
